Workday Tips

Feeling lost? Here are some tips to get you started in Workday!

HIRING AND JOB CHANGES

All hire forms and job change forms needed to be entered to PeopleSoft by December 6, 2024, and executed by December 13th at 5pm. Any eForms that were not executed by then will be recycled and need to be entered into Workday in January 2025. Between December 14th to January 1st, you will not be able to process hires or job changes. Please speak with your HR Business Partner or Operations Specialist* for more information about hiring in Workday.

CHECKING IN/OUT OF WORKDAY

The Workday Mobile app, your Workday online portal, and the Timeclock Machines located around campus will all take the place of Y-Time starting December 21, 2024 at 12am. If your shift has you clocking in on December 20th and clocking out December 21st, you'll clock into Y-time and then clock out (aka check out) in Workday.

To check in/out for work, you will need to download the Workday Application to your mobile device. After logging into the app, your home screen will look something like the image below*. If you do not see "Time Tracking" on your home screen, click the apps button on the bottom right side of your screen as indicated by the red box in the image below.

*Your Workday App might look different after launch depending on your phone type and changes made by Workday.

Your apps will look something like the far left image below. Select "Time Tracking" and "Check In", wait for the screen to load and select the check mark to clock in. Repeat these steps to "Check Out" or clock out at the end of your shift.

To check in using your computer, login to Workday, click "Menu" on the top left side of your screen and select "Time".

Click "Check In" and "OK" to clock in. Repeat those steps to clock out.

TIMECARD ADJUSTMENTS IN WORKDAY

Starting December 21, 2024, you will no longer need to turn to your supervisor or time manager to make timecard adjustments. You can adjust your own time, or add any missed punches through your mobile app or online through Workday.

Every Friday, after their final shift, hourly employees should review and submit their weekly hours. Managers can submit hours for their employees, but managers will not be able to add or adjust hours for employees. Managers will also need to review and approve employee timesheets at the end of every pay period.

Workday Mobile Time Fixes

To do so through your mobile app, you will select "Time Tracking" and "Enter Time". You will then choose what day needs hours adjusted. Even if you forgot to log your hours, you can add the hours for that day following these steps. You must leave a comment for any timecard adjustments you make.

To submit your hours through your app, go through "Time Tracking">"Enter Time" and click "Submit This Week" at the bottom of the work week and then "Submit".

Workday Online Time Fixes

To adjust your timecard online, login to Workday, go to "Menu">"Time" and then choose "This Week" or "Select Week" depending on what day you need to adjust. You can either click within a weekday to enter a missed punch, or you can click an existing time punch to change it. Put in the correct time punches, and you must leave a comment before clicking "OK".
