I-9 Certification

Federal immigration regulations require each employee hired in the United States to prove their identity and eligibility to work by completing a Form I-9 at the time of hire.

Please send student employees to the Student Employment Office to complete their I-9 form before the employee begins work.  Departments will be charged a $100 fine and reported on the University’s monthly compliance report for each "late" I-9. 

In the event of an audit, U.S. Immigration and Customs Enforcement (ICE) can fine the University anywhere from $100 to $1,100 for each "late" Form I-9. 

Acceptable Documents for I-9 Certification

The following is a list of acceptable documents that may be used to satisfy the I-9 requirements in establishing an individual’s eligibility to work in the United States.  All documents must be current (not expired), original and non-laminated.

What Documents Do I Need to Get Hired?

*Please note that laminated Social Security Cards are considered fraudulent documents by the U.S. Immigration and Customs Enforcement and will not be accepted for I-9 purposes. 

How to Obtain a Social Security Card

In the event you do not have an original Social Security card for IRS or I-9 purposes, you may obtain one by going to the local Social Security Administration Office (485 N. Freedom Blvd, Provo, UT 84601; Phone: (800) 772-1213 or (866) 366-9549; Hours: 9:00 a.m. to 3:00 p.m.) and completing an application proving your U.S. citizenship or immigration status, age, and identity. Once you have received your social security card, please bring it in to Student Employment at 2024 Wilkinson Center in order to update your records with the University. Please note that you will need to bring in your card within 30 days to meet IRS requirements and up to 90 days to meet Federal I-9 regulations (if you were originally hired using a temporary Social Security Card receipt).

Hiring

Once an employee has completed a Form I-9 and his/her hiring paperwork has been completed, the hiring department will receive an "Approved to Work” email and the employee may begin work.

Audits and Training Programs

The University I-9 Coordinator will oversee in-house audits of Form I-9's, and will suggest and conduct specific training programs as needed.
